Approve a new client from the intake queue

Review a public intake submission and turn it into a real client in two clicks.

Updated Jun 21, 2026

When a new client fills in your public intake form, it doesn't go straight into your client list — it lands in a review queue first. Approving it turns their details into a real client and pet in two clicks, so you stay in control of who you work with while still making it easy for anyone to ask.

In a nutshell

  • New intake submissions are held as pending — nothing is added to your client list until you say so.
  • Approve to create the client and pet automatically, or Decline if it isn't for you.
  • Reviewing first keeps your client list clean and spam-free.

Where new clients arrive

Your intake form has its own public link you can share with new clients, or that they reach from your booking page. Anything submitted there is held as pending in the Intake queue, so nothing touches your real client list until you review it.

The Intake queue: review a pending submission, then Approve or Decline.
  1. Open the Intake queue in the portal.
  2. Open a pending submission and review the client and pet details.
  3. Approve it to create the client and pet, or Decline it if it isn't for you.

Approving creates the full client and pet records straight away, so you can book them, invoice them or invite them to their portal immediately. Declining clears the submission without adding anything.

Reviewing before adding keeps your client list clean and spam-free, while still letting anyone request to work with you.

Common questions

What happens to the pet details when I approve?

Everything the client entered — the pet's name, breed and any notes — is carried into the new client and pet records, so you don't have to retype anything.

Can I edit a submission before approving?

Approve it to create the records, then edit the client or pet as normal. Approving is the fast way to turn a request into a record you can work with.

Where do intake submissions come from?

From your public intake form's link, which you can share directly or surface from your booking page, so new clients can introduce themselves before you've ever met.
