Invite your team and assign roles
Send invites and give each teammate the right level of access.
Bring your team into Pupline by sending each person an email invite and giving them a role. A role controls exactly what a teammate can see and do, so your client list and your numbers stay private while everyone still gets the access they need to do their job.
In a nutshell
- Invite teammates by email from Team → Members — they set up their own login.
- A single role (Owner, Admin, Manager or Staff) controls everything they can see and do.
- Staff see only the work assigned to them — not your whole client list or your revenue.
- Each active teammate uses one seat; add or remove seats whenever your team changes.
Step 1: Send an invite
- 1Open Team → Members and click Invite.
- 2Choose a role — Owner, Admin, Manager or Staff — to set exactly what they can see and do.
- 3Send. They get an email to set up their own login; their access is live the moment they accept.
- In the portal, open Team → Members.
- Click Invite and enter the teammate's email address.
- Choose a role — Owner, Admin, Manager or Staff.
- Send. They get an email with a link to set up their own login.
The invite is tied to the email you enter. Your teammate accepts on their own device and picks their own password (or signs in with Apple or Google). Their access goes live the moment they accept.
Step 2: Pick the right role
Roles decide what each person can see and do, and each one builds on the one below it. Most teams use Manager for shift leads and Staff for walkers, sitters and attendants.
Owner
The account holder. Can do everything, including billing and seats. There is always exactly one owner.
Admin
Runs the whole business — settings, the team and all day-to-day work. The one thing an admin cannot touch is billing.
Manager
Runs the day-to-day: clients, invoices, bookings, tasks, schedules and timesheets. No billing, settings or team management.
Staff
Works on only their own assigned bookings, tasks and checklists, plus the client and pet details needed to do that work.
For the exact, permission-by-permission breakdown — generated straight from the rules Pupline enforces — see Admin, manager and staff: who can do what.
Step 3: Change or remove access
- Open Team → Members and find the teammate.
- Change their role, or remove them from the team.
- Changes save instantly — removing a teammate revokes their access immediately and frees their seat.
Removing a teammate is immediate. If someone is only away for a while, it is usually better to leave them in place than to remove and re-invite later.
Seats and your plan
Your Facilities plan includes a set number of seats, and each active teammate uses one. Add more whenever you hire, and remove them when your team shrinks — see Add or remove team seats for how billing adjusts.
Common questions
How many teammates can I invite?
As many as you have seats for. Your Facilities plan includes a set number of seats, each active teammate uses one, and you can add more whenever you need them.
What can Staff actually see?
Only the bookings, tasks and checklists assigned to them, plus the client and pet details needed to do that work. They cannot see your full client list, your revenue, or anyone else's bookings.
Can I create custom roles?
Not yet. Pupline uses four fixed roles — Owner, Admin, Manager and Staff — so permissions stay predictable and secure. Most teams map cleanly onto them.
A teammate has left — how do I revoke their access?
Open Team → Members, find them, and remove them. Their access is revoked immediately and their seat is freed for someone else.
Can my team use the mobile app?
Yes. Teammates sign in to the Pupline mobile app with the same login they set up from their invite, with the same role-based access they have in the portal.
